Aircraft Scheduling Specialist - Negotiable Salary - Boston, USA

The role:

On behalf of our client, we are seeking an experienced Aircraft Scheduling Specialist.


This is a pivotal role in ensuring seamless coordination of our client's aircraft to meet the diverse needs of its clients. This role demands proactive engagement with internal departments and external vendors to maintain its reputation for service excellence and quality assurance.


Location:

● Corporate office/Quincy, Massachusetts

● 4 days in office/1 remote day


Responsibilities:

Aircraft Scheduling Management:

  • Schedule aircraft to ensure optimal utilization, maximizing efficiency and resources.


Operational Coordination:

  • Work daily with operators to facilitate smooth trip transitions internally and externally.

  • Ensure aircraft and operators meet safety and quality standards and cancellation policy.


Financial Administration:

  • Perform weekly invoice reconciliation tasks to maintain accurate financial records.


Collaboration and Support:

  • Collaborate with sales, sourcing, and flight support departments to deliver exceptional aircraft and service to clients.

  • Serve as a subject matter expert on aircraft characteristics, operator network, and new products/features.

  • Assist in maximizing fleet operations to optimize overall efficiency.


Sales and Procurement:

  • Engage in sales to other operators and brokers, nurturing and developing partnerships.

  • Procure suitable aircraft for clients, balancing trip experience with gross profit margins.

  • Negotiate with operators to source aircraft for Program and Charter flight requests.


Optimization and Availability:

  • Optimize aircraft scheduling to maximize operations and utility.

  • Be responsibly available during on-call hours as per the roster system

Skills:

  • Analytical Thinking: Ability to analyze data and information to make informed decisions and solve complex problems effectively.

  • Basic Accounting Knowledge: Understanding of fundamental accounting principles to assist in financial tasks such as invoice reconciliation.

  • Strong Multitasking Abilities: Capacity to manage multiple tasks simultaneously, prioritizing effectively to meet deadlines in a dynamic work environment.

  • Detail-Oriented Approach: Meticulous attention to detail to ensure accuracy in all tasks, from scheduling aircraft to financial administration.

  • Strong Communication Skills: Clear and effective communication, both written and verbal, to interact with team members, clients, and vendors.

  • Ability to Work Effectively in a Fast-Paced Team Environment: Adaptability to collaborate with team members and thrive in a high-energy, team-oriented workplace.

  • Lead with Safety Mindset: Prioritize safety in all aspects of work, ensuring adherence to safety protocols and procedures.

  • Quick Rapport Building with Vendors and Clients: Ability to establish and nurture relationships swiftly, fostering trust and collaboration with vendors and clients alike.


Education & experience:

  • Bachelor’s degree in Aviation Management, Business Administration, or a related field preferred.

  • Prior experience in aircraft scheduling, aviation operations, or a similar role is strongly preferred.

  • Experience in the private aviation industry or related fields is a plus.

  • Any relevant certifications or training in aviation management or operations would be advantageous
